Abstract Policies and Procedures

  1. Publication: There are an increasing number of commercial organizations that are offering highlights of annual meetings, including that of the IHS and AHS.  At times, individuals from these organizations may indicate that they have some relationship with the Societies, and will ask for you to provide illustrations or tables, or major elements of your presentation for inclusion.  While it is the goal of the Societies to bring material presented at the Congress before the public and the profession, we want to let you know that any communication regarding your presentation before or after the International Headache Congress will only be through the Societies Offices.  Any unauthorized of IHC presentation material may result in sanctions.  The embargo for abstracts that will be presented at the congress is in effect until the date and time of the scientific presentation.  Selected abstracts will be published in journal Cephalalgia which will serve as the official abstract book for the meeting.
  2. First Author:  To encourage abstracts from prominent research laboratories and clinical investigative groups, first authors may submit a maximum of two abstracts.  For groups submitting multiple abstracts, it is requested that no single individual present more than two abstracts in platform sessions.
  3. Previous Presentation of Abstracts: Abstracts ARE NOT considered for presentation if they were published as an article prior to the date of this presentation.
  4. Conflict of Interest: If the research was partially or fully funded by a proprietary organization (e.g., a pharmaceutical, biotech or device manufacturer), you must describe the nature of the relationship. Example: "Research was funded in part by the XYZ Corporation, City, State". Please DO NOT list any author names within the disclosure text.
  5. Grading: Abstracts will be graded anonymously. Authors should be cautious in using institutional references in the body of the abstracts. Do not put author names and affiliations in the body portion of the abstract.
  6. Presentation:  Accepted abstracts are presented in either oral or poster sessions.  You should state your preference in the submission program, though AHS will make the final decision of abstract assignment.  Authors later withdrawing their abstracts based upon the presentation type that has been selected for their abstract may be subject to IHS sanctions.  All oral and poster presenters must register for the International Headache Congress and will be REQUIRED to pay the International Headache Congress registration fee.
  7. Call4Posters®:  AHS is partnering with Marathon Multimedia and its Call4Posters® service to offer an optional professional, high quality poster printing service.  If you are selected for a poster for the Annual Meeting, you will receive further information about this poster printing service in your acceptance letter.
  8. Changes to Abstract After Submission: Prior to the submission deadline, you must withdraw your abstract and resubmit.  Any request for MINOR changes after July 31, 2009, must be sent to IHS Secretariat.  Any corrections and/or changes will not be accepted after August 7, 2009.
  9. Abstract Withdrawals:  Prior to the submission deadline, you can withdraw your abstract through the site.  After July 31, 2009, you must contact IHS Secretariat and request a withdrawal.  Withdrawals will not be accepted after August 7, 2009 without possible IHS sanctions (see #6 above).
  10. Abstract Receipt Confirmation: If you submit on or before the deadline date, you will receive an email confirmation within two business days of submitting your abstract. If you submit on the deadline date and do not receive a confirmation within 48 hours, please contact Marathon Multimedia at Technical Support.
  11. Submission: When you have completed your online abstract form, click on Submit Abstract, but ONLY when you are sure that your abstract is complete and in final form.
  12. Abstract Style: Remember that your abstract will appear EXACTLY as you submit it. Please check abstracts carefully for typographical errors, misspellings, poor hyphenation, etc. They will be glaringly apparent in the published abstracts. 
  13. Abstract Size:  The size of your abstract is limited to 3300 characters which includes Authors/Institutions; Title; Body; Tables; Figures.
  14. Title: The title should be brief, but long enough to identify clearly the nature of the study.
  15. Abstract Structure: The body of the abstracts should be organized as follows and begin:
    1. A sentence stating the study's objective.
    2. A brief discussion of the background.
    3. A brief description of the methods used.
    4. A brief description of the results.
    5. A statement of conclusions reached. Do not state simply that the results will be discussed.
  16. Tables and Graphs: Simple tables and graphs may be included if they fit within the size constraints of the electronic program. Follow the instructions in the program for submitting graphs and use the table formatting function for table preparation.  You may include either 2 tables or 2 figures. Please note, each figure accounts for 320 characters.
